Please help us to build our CRM workflow in the next terms:

  • At first sales manager fills in the lead’s data in special forms in the Lead info board. This form has required to be filled points).
  • Then Sales manager enters a tab Main table and see there the filled lead. And here we also have a connection with board of our products list. We choose the type of product which the lead chose. Here he will have 2 options: a. to create activities by the lead (fox example push the button and moves to the board activities); b. to create the lead on onboarding level (board) without any activities. Move to onboarding can only Head of IR manager.
  • When sales manager create a lead in Activities board, he creates tasks on subitems level set responsible person and responsible person get’s notification that he has a task to do. And when the task set the program automatically set filled Task creation date on today and Due date moves on 1 business date from task creation date.
  • When all activities by the lead done, Head of IR gets a notification that the lead is ready to the next steps of work. And only Head of IR can move it on the next steps
  • Then Head of IR moves the lead on the first step of onboarding

Onboarding structure:

STER 1 INFORMATION REQUEST AND DOCUMENT COLLECTION include following tasks:

- Light KYC/AML check has two subtasks: Online check and Sanctions list check.

Only if two subtasks by the lead are completed the main task change status to Done.

Subitems include proofs (screenshots of tasks execution)

If KYC/AML verification is not approved the lead automatically moves on the level of tasks Not approved light KYC/AML check

- Email to a client with a welcome and a relevant presentations, including FTX

- Setting up a TELEGRAM CHAT

- FTX exchange (has/hasn’t) this task has a term: If the lead has a FTX, the task is completed and has status Done. But if the lead doesn’t have a FTX появляется the program automatically creates an subtask for opening of FTX. And only if the subtask completed, the main task can have Done status

- Email to a client with an information pack request

- Documents receipt (passport, POA, CV)

- Not approved light KYC/AML check . In case the second verification is approved, lead
moves back to the level of tasks Light KYC/AML check to continue the process with Done status

Lead’s tasks can be completed randomly with possibility to see current lead’s tasks data in the context of statuses. We should see which tasks by the lead are completed and which are still not (all the list)

Also when we set a new task, the program automatically send a notification to the IR manager that he has a new task to do and Task creation date automatically sets on today and Due date moves on 1 business day from Task creation date

If we miss the deadline (on 1 day from the Due date) the program automatically sends a notification to IR manager and Head of IR manager to proceed the process and change the status of task to Stuck

ONLY If all these tasks by the lead completed the lead automatically moves to the second step of onboarding

STEP 2 SA AND DOCUMENTS PREPARATION include following tasks:

- Passport certification

- SA draft and all annexes.

- W 8 form . Needs a function of a double check. For example if IR manager check this document, Head of IR gets a notifications for a double check. When this document checked by Head of IR, only he can change status of the task to Done

- Sending relevant forms for a client`s signature

- Full KYC / AML check . If KYC/AML verification is not approved the lead automatically moves on the level of tasks Not approved full KYC/AML check

- Sending Fund transfer instruction together with the Fund documents to client

- Operations Department informs team about a receipt of funds. When IR sets the task on this level Operations manager gets an notification that we are waiting for a transfer on our account. After the transfer is received, only Operations manager can change the task’s status to Done

- IR department sends an email to NAV with all relevant documents

- NAV sends confirmation email for receipt of docs

- Not approved full KYC/AML check. In case the second verification is approved, lead
moves back to the level of tasks Full KYC/AML check to continue the process with Done status

Client’s data should include all data from the Lead level and be connected with it.

So, if we change data of the lead, we automatically update it everywhere we have this lead

We also need the board, where we can see all leads with all types of products (because 1 lead can have a few products in 1 time and they can have different statuses), investment amounts and statuses
