Autotransfer completed project from one portfolio to aother

Move completed project off of portfolio onto a completed project portfolio so project task can be viewed on completed project portfolio.

What are you trying to achieve

I’ve been trying to set up an automation that will move a project off of our portfolio onto a completed project portfolio. I tried moving completed projects to a “completed” board that included all the same columns, but this type of move won’t let me open a closed project to look at individual project tasks. It only brings up the one-line summary of the project.

Here are two approaches I’d give a go

1. Use Status + Filters Instead of Moving

  • Keep all projects on your main Portfolio board.
  • Add a Status column for Active / Completed.
  • Use board filters or dashboards to only show active projects by default.
  • Create a dashboard widget or filtered view for completed projects.
  • This way, projects remain accessible, and you can always click into their task boards without losing connections.

2. Use a “Mirror” System for Completed Projects

  • Create your Completed Project Portfolio board.
  • Instead of moving items, mirror key columns from the active Portfolio board.
  • Add a filter or automation to show only completed projects in that mirrored view.

How it works:

  • Your Completed Project board essentially becomes a read-only portfolio of closed projects.
  • Clicking the mirrored link still opens the original task board with all details.

Recommended Automation

If you still want a true “move,” you can combine this with Connect Boards:

  1. Add a Connect Boards column in your Completed Projects board that links back to the original Project Task Board.
  2. Before moving an item, make sure that connection is populated.
  3. After the item moves, the connection remains so you can click to view tasks.
