I would like to have a board and form to gather employee medical insurance and retirement plan information from each employee and a board to gather PTO requests. I would like to create a dashboard for each employee to have access to their insurance, retirement plan, and PTO information. Are there any templates that would enable me to gather this information in various boards, and then show only an employee’s information to them in a separate dashboard? The key piece is restricting visibility to only the employee’s information and not the entire staff’s.
What are you trying to achieve
I am trying to create a human resources management system with an open enrollment process flow.
This setup will work on Pro and Enterprise plans, since it requires item-level permissions.
You can achieve this by combining item permissions with dynamic dashboard filters.
Here’s the setup you can use:
On your HR boards (Benefits, PTO, etc.), enable Item Permissions:
Board Settings → Permissions → Item Permissions → “Users can only view items assigned to them in the People column.”
This ensures employees cannot see other employees records at the board level.
Make sure each item is assigned to the employee using a People column.
On your dashboard widgets, apply a filter like:
[People Column] → is → Me (dynamic)
This allows the dashboard to automatically adjust per user, so each employee only sees their own information.
Important: Dashboards respect board and item-level permissions. If a user cannot see an item on the board, they will not see it on the dashboard - even if a widget is connected to that board.
