Hi all- I am having a workflow issue in the CRM when sales people want to pre-plan their activity for the week.
Here’s the workflow:
Go to Account and create activity on the day and time you plan to visit
Repeat 30ish times or for however many customers you are planning to visit for the week
When you are traveling around to visit customers, go to the Account and log the notes from the meeting.
Here’s where we hit the issue. On the app, you cant edit an activity that has already been added to the timeline. So if they want to log notes, they have to create a whole new activity- meaning I have two records for every activity a sales person has done. So I have no way of seeing at a glance how many visits they have made.
Potential solution- they log their notes in the item that automatically creates in the activity board through the automation instead of on the emails and activity timeline. The problem here is that the notes don’t copy back to the original item on the timeline. So I have a timeline full of no information.
Note: I know that you can edit the emails and activity timeline from the desktop version, this is specifically for the mobile app as they are driving around all day to visit customers.
Does anyone have a good workflow for this? I can’t have my sales team not pre-planning their weeks. And it seems that a CRM should have the ability to pre-plan tasks and then add notes later from the app.
What about instead of ‘planning’ in the emails & activities, they instead plan with a date column (ie next visit date), then you can set create a view with a filter that only shows them the accounts they need to visit. Then when they’re on site, they add an activity like normal, so you only have one activity per meeting.
When managing CRM activity and pre-planning through the mobile app, here are some key edits and best practices that have helped our team stay aligned and efficient:
CRM Activity Tracking (Mobile Edits)
Logging Calls/Meetings: Always log client interactions immediately after the activity. Use voice-to-text if you’re on the go.
Activity Categorization: Make sure to choose the correct activity type (e.g., Call, Meeting, Email) to keep reporting clean.
Notes Best Practice: Keep notes brief but specific – include key discussion points, client feedback, and next steps.
Pre-Planning via Mobile
Daily Planning: Use the calendar or task view to check your scheduled activities before the day starts.
Account Research: Access recent activity, open opportunities, and contact details while in transit or between meetings.
Prepare Custom Notes: Draft talking points in the mobile app’s notes section under each account for easy reference during meetings.
Mobile App Edits & Tips
Edit On the Fly: Use the “Edit Activity” option to update meeting outcomes or reschedule as needed.
Sync Across Devices: Ensure mobile app development is synced so updates reflect instantly in desktop CRM.
Quick Add Shortcut: Use the “Quick Add” feature for rapid entry of tasks or follow-ups post-meeting.
Pro Tip:If you’re in a low-connectivity area, the app’s offline mode lets you queue updates — just make sure to sync once you’re back online.
