Looking for a way to send an email via Outlook when an item update is posted to someone. The email to be that of the information from the item update.
Hi @gentzky This is possible using automations and workflows in monday.com.
If you don’t need the text from the update body, you can use the automation option (as shown in the first screenshot). This will trigger an Outlook email when an update is created, but without including the update content itself.
If you do want the update body text included in the email, you’ll need to use a workflow (as shown in the second screenshot). Workflows allow you to reference the Update Body field and include that text directly in the email.
Hope this helps!
Hello @gentzky You can do this using monday.com automations or the Outlook integration.
For a simple solution, use the automation
When an update is posted notify someone
This sends the update content by email automatically.
If you need the email sent specifically via Outlook, use the Microsoft Outlook integration and trigger an email when an update is posted, pulling the update text into the email body.

Thank you! I had not used workflows before. This was very helpful and useful!
Hello @gentzky ,
If you’re open to apps, drop in another solution for this case. Board Email Report app has 2 types of automated reports on a board and item level. On an item level, you can get the following reports:
-
Updates by a specific employee
-
Updates mentioning a specific employee
-
Updates containing attachments
-
Status updates
-
Last updates
You set up automation rules to get reports every day (week, month) with consolidated updates and detailed xls-report as an attachment to people outside monday (no email integrations, no guest accounts needed!).
Use the Board Email Reports folder (Item Updates) and set up this rule:
This is how the result looks:
You can test the app and check if it works for you. I hope you’ll find it helpful. Also, our team can make custom automation for your case in terms of item updates, just reach out to us.
Hi Kyle,
You can use SuperMail to do this. Navigate to the SuperMail Automations, and find the one that is relevant (such as - when status changes to something, send template to…)
You can try SuperMail for free here - SuperMail – Email Automation - monday.com Marketplace
