I’ve tried a number of approaches and I’m hoping someone has cracked this. Looking for advice on handling multi-board connectivity with the newer multi-level board types.
My Setup
I have a main source board that serves as our innovation pipeline, using the multi-level board structure layered as follows:
Product → Pack Size (if launching multiple) → Flavors
Sometimes it’s just Product → Flavor, or even just Product on its own.
The rollup features work great here — we have a field called “In-House Date” where we always want the latest date shown on the parent. The native rollup handles this perfectly, and it loads into the Calendar View without issues, and you can edit the parent if there’s no children.
The Problem
Things get tricky when I try to use this data on other boards. The rollup column doesn’t appear as an option when setting up a mirror column, it’s simply unavailable.
I’ve tried rolling this date up through multiple workarounds, but there aren’t many automations that play well with multi-leveled items like this.
What I’m Trying to Accomplish
On my Commercial Load-In board (a standard board structured as Parent Item (Product/Packsize) → Subitems which are flavors for each retailer we’re launching a product in, I want to pull the latest In-House Date so it flags risks against my earliest ship date to retailers, a column for the subitems here. Ideally, I’d also like that earliest ship date to roll backward from the retailer subitems to the parent which is easy using timelines, and that roll back to my innovation board where products are mirrored.
The mirror lives on the parent item of this board, but I’ve also been testing the Same Item Multiple Boards add-on to bring the In-House Date over with more ease, I bring both the parent and child and they connect ok. The problem there is that I end up duplicating flavors multiple times, which creates a mess of “(copy)” suffixes on item names, and I haven’t found a clean way to strip those in bulk. On top of that, I’m not sure I can get the earliest ship date from those subitems to roll back up efficiently. And I’m relying then on people to duplicate those properly
The Core Question
Has anyone dealt with this kind of one-to-many relationship across varying levels of hierarchy? Specifically:
