I haven’t seen this discussed yet, so please do share a link if it has been covered.
I’m currently exploring the Portfolio solution, and overall it looks promising. However, I’m running into a challenge to get a single, consolidated view of someone’s workload when they’re working across multiple portfolios.
It seems like workload and capacity can only be viewed on a per-portfolio basis, which makes it difficult to track overall resource allocation. Previously, we used a setup with fewer boards and grouped projects within them, which made it easier to connect everything to one dashboard and use workload widgets effectively.
With the Portfolio structure, new boards are constantly being added by anyone, and that makes it harder to maintain a clear overview.
Has anyone else experienced this issue? I’d love to hear how you’ve approached it or found workarounds.
Do you have a trial? If so, add a dashboard ‘board’, then add widget and add the ‘List View’ widget. Then when you go to add boards, you can choose the Portfolios.
Hi Desiree - this is super useful to know, as I didn’t realise you could dashboard different portfolios. Thank you!
Unfortunately it won’t show the individual’s workload (tagged tasks and time spent) in the different projects. It might just need to be a manual add of each project.
That’s what I get for answering a question before I’ve had my second cup of coffee
To clarify - you want to be able to review everyone’s workload and not just have your team see their own, right?
Some other options -
Do the same steps as above, but then add all the projects from all the portfolios. Downside to that, is since it’s not a specific portfolio dashboard, that they won’t add automatically.
Another option is to change your project template to have automations where when items are added, they’re automatically added to an ‘Overall’ tasks board and then ‘connected’ back to the original item and have mirror columns. You could then add board views to show people ‘just their’ work. And they could even in theory work from that board, when they update columns that are mirrored, it would update on the project as well.
Hey @Mariolsen totally feel this - the portfolio view is nice, but yeah, it’s tricky when you want to see someone’s total workload across multiple portfolios or boards.
You might want to check out Time in Status for monday.com. It pulls time and activity data from multiple boards into one place so you can see how much time each person spends on different projects, even across portfolios. Perfect for spotting workload imbalances or hidden bottlenecks that dashboards alone can’t show.
