Project scheduling help (shifts, multi projects, utilization reporting)

Hi, I’m hoping someone can offer advise or suggestions.

I’m trying to replicate a system comprising of excel & a magnetic white board. Can this functionality be replicated??

Crew availability (excel) - List of technicians in column A. Week increments in row 1 showing a forecast of how many days in each week the respective tech is available. This sums to a total available labour days in each given week. Rolling forecast i.e. the weeks are dated with the Monday of each week.

Project schedule (magnetic whiteboard) - Time on top of board. First/next 2 weeks show days. Week 3-8 are week columns. Next columns are month 3-6. Techs are listed again on left vertical side. We currently use a magnetic job card at start of project and then draw the project duration or timeline.

Key consideration is the ability to visualize the schedule. On a computer screen the best option may be a calendar view vs scrolling forward to see what’s ahead in the schedule. No need for work breakdown structure, just timeline.

Job cards - represent the project (Project #, number of labour days, crew etc).

Utilization forecast (excel) - I currently manually create a rolling weekly forecast showing the number of required labour days in each week column based on the schedule. This is then compared to the crew availability excel tab to give a weekly utilization forecast e.g. (Require days in week)/(available days in week) %.

Is this something that can be replicated in Monday.com? Any tradeoffs?

This may be possible to some extent. You can either create a dashboard or a blank view inside the board to generate these reports.

Some ideas that may be useful:
Crew availability - this can be a regular table widget, or as Wally mentioned, a workload widget.

Project Schedule - The closest to what you mentioned may be a Gantt chart widget. But I don’t think it is possible to customize the time periods as you mentioned, as it can only be set to daily, weekly, or monthly. At most, you would have to use 3 Gantt charts with different settings.

Job Cards can be done using Item Cards.

Utilization forecast may be done via a workload widget too.
