I feel like this should be so simple, but can’t figure out a way to do it and chat support couldn’t either.
I want to automatically send an email (likely a SuperMail, so actually “Change Status”) on the same date every month, for example the 7th, to all clients (existing items with the same status) AND ideally not send the email on a weekend (so if the 7th were a Saturday, it would actually send an email on the 9th).
Here are the issues:
I can’t use “Every time period” as that doesn’t have an action to “change a status.”
It appears that I could use “When date arrives, change status AND push date 1 month”. BUT, I first need to set the date…. and for new clients (new items) there is no way to set the date column for when an item is created to the upcoming X (i.e. 7th) of the month.
After sending the SuperMail, how do I change the status column back to allow it to “refresh” to allow for next month’s automation. SuperMail’s automation is “Send template when a status changes to something”, so I would need to change it back.
And lastly, cherry on top would be if any workaround recommendations would factor in the desire to NOT send email/change status on a weekend and wait to send to the next Monday.
It would definitely be easier if you had CRM because then you’d have access to sequences (and even mass emails).
With Work Management, there isn’t a simple native way to do exactly what you want, but there’s a workaround. You could add a dedicated date column, like “Email Date,” and set its default to the seventh of the following month. For example, an item created in October would default to November 7. The tradeoff is that you’d need to update the default each month. From there, you could add an automation saying: when the Email Date arrives, if the item is in status X, send the email and then push the date forward thirty days. Just note that this won’t adjust for weekends.
For resetting the status, I feel like you can try:
Changing the status back again immediately. SuperMail will receive a trigger for the first “send email” status change, and likely still just send the email.
or Create another date column set to the 8th of the month, and when it arrives, reset the status.
As for getting the right date, if you’re open to it, I can set something up for you. The Automato app already has date automations in a similar vein. You can already pick the first Monday of the month, for example, if that also suits you. If not, we can add an automation like this pretty quickly:
