Task List and Project Plan

Wondering if anyone has a similar use case and has solved for it already. I have a Task list board, that keeps all the items I’ve asked my team, vendors, or things I need to do. it’s a one stop view of everything outstanding at a task level I need. At the same time we have project boards setup and some of the tasks I have asked someone to complete are also on a project board as an item.

I need the 1 view that I have with my task board, it’s easy to manage and track. The issue is some of the tasks that I have on my task list assigned to folks, are also tasks that are part of a project board. So we end up with duplicate tasks, which doesn’t make sense. But I can’t run thru 30 project boards to track tasks I created and assigned.

Is there a way to add a item to project board, assign it to someone and have that task appear on my task board?

Hello @msetter Welcome to the community. Yes! You can achieve this in monday.com using mirrored items and connected boards or by using automations to sync tasks between your Task List board and Project boards. Here are a few solutions:

1. Use a “Connected Boards” Column & Mirror Status

  • Add a “Connect Boards” column to link each project task to your Task List board.
  • Use a Mirror column to reflect important fields like Status, Due Date, or Assignee.
  • This ensures that updates on the project board are visible in your Task List without duplication.

2. Set Up an Automation for Syncing Tasks

  • Automation Rule:
“When an item is created in Project Board, create a matching item in Task List Board and connect them.”
  • You can also set up an automation to keep the status updated between the two boards.

3. Use WorkForms for Task Creation

  • Instead of manually creating tasks on different boards, use a form to log tasks.
  • When a task is added, automations can place it in the relevant project and the Task List board.

4. Create a Dashboard for a Unified View

  • Use Dashboards & Widgets to pull tasks from all project boards based on the “Created by” or “Assigned to” filters.
  • This way, you can view all assigned tasks in one place without creating duplicates.
