Use Forms to Edit PRE-EXISTING Board Items (Let's Try This Again)

In the summer of 2025 Monday.com released a feature that only half addressed a feature request first posed in 2020. After 5 years we got the ability to return to a previously submitted form, and update the items at that time. This gave forms the ability to be updated, but did not address the core concern in the original feature request. So let’s try this again.

I would like to request the ability to edit existing items in a board using a form. The use case for this would be gathering feedback for an item after it was created, regardless of whether it was originally created using a form. This feature would need to be integrated into automations and workflows with the goal of being able to send out “survey” forms with specific columns assigned to gather feedback for pre-existing items in a board. Ideally this could be done dynamically so that a board could be setup to automatically send a link to a contact in the board row based on another cue (date, button press, status change etc.)

What are you trying to achieve

The ability to send feedback survey forms regardless of how the item in a board was created. I often have items created by automations and so there is no “form link” generated to use for feedback/follow up.

This is exactly what FormFlow was built for! With FormFlow’s Update Forms (Editable Link) feature, you can generate pre-filled forms for any existing item on your board regardless of how that item was originally created. No need for the item to have been submitted via a form first.

You can set it up so that an automation sends the editable form link to a contact when a status changes, a date arrives, or a button is pressed. The form will be pre-filled with the item’s current data, and the recipient can review and update specific columns directly, all synced back to your monday.com board.

It also supports password protection (including validation via a password column), so you can ensure only the right person can access the form.
