When deactivate user - move all tasks to new user

Description

When a user leaves the company and i deactivate him in the system i would like to have the option to assign someone else to his/her tasks . ( same as Monday.com do have for automations and board ).

What are you trying to achieve

That when someone leaves his/her tasks will not be unassigned and will be forget or get lost ..

In the meantime, this can be handled using Make. You can set up an automation that periodically checks for items where a specific user is assigned (for example someone who has left the company). When detected, the automation can automatically replace that person with another responsible team member.

For example:

  • Make scans boards for items assigned to the deactivated user.

  • When found, it updates the People column and assigns the new responsible person.

This helps ensure tasks don’t remain unassigned or get forgotten. If needed, the same automation can also notify the new assignee so they are aware the tasks were reassigned.
