We are trying to implement a Risk Register board in Monday and I’m a bit struggling to find an easy way to implement that for our use case. It currently works but it’s relying on automations and workflows and it’s abit cumbersome, so I would like to simplify it. So I’m sharing where we are to see if anyone has recommendations or a better idea :-).
We have one Portfolio board with all our projects, so it’s a high level board which summarise the important information we want to track on each project…and risk is one of them. In that board we added two columns: Risk Status and RPN
Then we have a Risk Register board which is connected to the Portfolio board (and the two columns mentionned earlier are mirrored from the Risk Register board).
Our Risk Register board is pretty straight forward:
We have different Status columns for the Risk Status, Severity and Likelihood. RPN level should be defined based on the level of the Severity and Likelihood columns (based on the 3x3 rating).
Problem is we like the Status fields with their colors because it’s very visual and we have a formula column to calculate the RPN but we cannot use the formula column in an automation or a workflow (unless I’m mistaken?)
So what we did is we have “hidden” number columns
And we have automations that runs every time a Severity or Likelihood is changed and updates the number columns accordingly. And since we cannot do computation in automations, we also have workflows to run the 3x3 formula on the Severity & Likelihood and update the number column for the RPN.
And finally we have an automation which runs when the RPN number column is updated to update the RPN Level (which is a status column).
So the use case is pretty simple but the way it’s implemented is rather overcomplex.
So I was wondering if I was overlooking something to make better use of automation OR workflows to achieve that?
