How to collect content from external source and link to a task

I’m looking for some ideas to create a workflow. I’ve done my research but haven’t found the right solution yet.

In brief: I am looking to collect information from a non-Monday user and link it to an associated task

Long version:
My graphic design team creates documents and we log a task in Monday to collect the brief and the Microsoft Word content. Often the additional “accessibility” information is sent to us later and is disorganized or incomplete. I’d like to create a template to share with the writer requests for specific material (example “Description of the document”). I’ve gotten a start by learning about Item ID and creating a shareable link but looking for ideas how to distribute a form or fillable document to collect the information and link it. Ideally something than can be updated if the writer adjusts. Also, it needs to be compatible with two languges.
