My team creates control numbers to identify documents. The control numbers are the “items” in our board, and each needs to be unique. The control numbers are determined by the users, entered manually, and assigned in order, so it’s easy for people to repeat a number if they’re entering numbers at the same time as someone else. I would like a way to automatically and immediately identify for someone if an item name that they’ve entered is not unique. Color coding via conditional formatting would be a perfect solution, although I’m open to anything that works, as long as it happens automatically whenever an item name is entered or updated.
Which product (CRM/Work Management, etc) and level (Pro/Enterprise) do you have?
hi @RLMyrick
Can’t you generate the number automatically, so user can’t create duplicates? There are numerous options to create unique numbers with or without prefix and suffix.
It looks like Work Management (since that’s what it says in the upper left corner of the page), and I’m guessing Enterprise based on the features I seem to have access to. I’m not sure, though… I am not an admin. Is there a way to look up the details?
The ID numbers incorporate several details, including the type of document, the department to which it relates, the week it’s being submitted, and the sequence within that week’s submissions. To auto-generate a number would require too many inputs from the team; I don’t see them accepting that route. In Excel, we just color-coded the duplicates so they could see them and react as needed. Monday.com is better in a lot of ways, but lacks a few capabilities.
Hello @RLMyrick,
You can use the Duplicates and Uniques app to automatically identify duplicates.
The app works with native monday.com automations so you can trigger a template created in the app using any monday.com automation.
