Add activity note is being seen in several deals

Hi, I am new to monday.com but now use it in my work place. I have recently added several deals to the company main page. They are all for the same company and have the same contact. I want to add a specific note to a specific deal but, when i add a note to the Deal page in one, the note shows up in all the deals I have with that one company. why is this and how can I prevent it from happening?

How are you adding the note currently? ie as an Activity or update? Also Which product (CRM/Work Management, etc) and level (Pro/Enterprise) do you have?

Hi, I am having the same issue. If I go in the deal, and press +Add activity and them add a Note, the note replicate in the other deals of the same account causing a big confusion. How can we avoid that? We are using Monday CRM/Work Space and we are PRO

Hello @cschless you’re running into expected CRM behavior rather than a bug.

In monday CRM, activities are logged on the contact and account timeline, not just the individual deal. When multiple deals are linked to the same contact or company, any activity note you add will appear across all those related deals. That’s why you’re seeing the note replicated.

To avoid this going forward, you have a couple of options.

If the note is deal specific, use Updates on the deal item instead of Add activity. Updates stay scoped to that single deal and won’t sync to other deals for the same contact.

If you need to keep using activities, it helps to reserve them for notes that truly apply to the contact or company as a whole, rather than one deal.

This is a very common gotcha when teams first start using CRM Work Space, so you’re not alone.

There is a filter that might help somewhat in the email/activities section. You can filter it so it only shows activities on that exact item. I’ll be honest, you’ll still have some crossover but I do feel like it’s a bit cleaner and a good workaround.
