Dashboard viewer

Difference between Dashboard viewer vs Dashboard member vs Dashboard owner?

Hey Allen,

Great questions!

You might find this article helpful in understanding our different user types:https://support.monday.com/hc/en-us/articles/360002144900-User-types-explained

Essentially, the dashboard owner will typically be the dashboard creator or an assigned owner by the dashboard creator. They have full ownership and editing capabilities of the dashboard.

Dashboard team members are dashboard subscribers that are able to edit the dashboard based on the permissions set by the dashboard owners. It’s important to note that in order for dashboard members to view all data from the connected boards, they need to be subscribed to each of those. boards.

Dashboard viewers are similar to dashboard members however they can only view the dashboard, they have no editing capabilities. Similar to members, they will need to have access to all boards in order to view the data in the dashboard!

Hey Binace, thanks for this information, this was helpful.

A follow up question: where can you define the permissions for dashboard members? how do you decide what editing or interactions they are able to perform?
When i go to workspace permissions and then look for dashboards, there’s only one checkbox which says ‘create a new dashboard’, apart from that, how can i decide what my dashboard members are able to edit?

Hey Allen,

Apologies for causing any confusion there

Regarding permissions, this was in reference to whether the dashboard is a private or main dashboard - private dashboards are currently supported on Enterprise plan.

At this time, it isn’t currently possible to define which areas of the dashboard members can edit I am afraid - apologies for the setback!

Hi Bianca,

Thank you for the clarification!
so i suppose dashboards subscribers (members/viewer/guests) who aren’t owners can only view the dashboard, right?

Thanks for helping!

In monday.com, dashboards are used to aggregate and visualize data from multiple boards. Roles within dashboards—Viewer, Member, and Owner—define the level of access and permissions for each user. Here’s a breakdown of the differences:

1. Dashboard Owner

  • Role: The creator or assigned manager of the dashboard.
  • Permissions:
    • Full control over the dashboard.
    • Can add or remove widgets.
    • Can customize widget settings.
    • Can invite others to the dashboard as Viewers, Members, or additional Owners.
    • Can delete the dashboard.
    • Can duplicate the dashboard or share it externally (if applicable).
  • Best For: Project managers, team leads, or stakeholders responsible for managing data visibility and settings.

2. Dashboard Member

  • Role: A collaborator who has been invited to the dashboard.
  • Permissions:
    • Can view and interact with widgets.
    • Can edit or update content if permissions are enabled for specific widgets or boards.
    • Cannot change the overall structure of the dashboard (e.g., adding or removing widgets).
    • Cannot modify widget configurations.
  • Best For: Team members actively contributing to or viewing the data, but without control over the dashboard’s structure.

3. Dashboard Viewer

  • Role: A user with read-only access to the dashboard.
  • Permissions:
    • Can view the dashboard and its widgets.
    • Cannot interact with or edit the data.
    • Cannot add, remove, or configure widgets.
    • Cannot invite others to the dashboard.
  • Best For: Stakeholders, clients, or team members who need to monitor progress but not contribute or make changes.

Key Use Cases

  • Owners: Use this role for people designing and managing the dashboard structure.
  • Members: Assign to collaborators who need to engage with the data without altering the dashboard setup.
  • Viewers: Ideal for external stakeholders, clients, or executives who only need visibility.
