Email automation that will include subitem data

Hello, I have items that include several sub items on my board. I would like to have an email automation that would allow me to be able to select data that is housed in my sub items. Currently, I’m not able to select any sub item data when creating this automation.

As a workaround you can start by setting a basic condition…like “Notify User When SubItem X Changes.” Once that’s set, you can go back into the automation and edit it.

Enable Sub-Items: Ensure that sub-items are enabled and visible on your board. Most platforms require you to activate sub-item functionality explicitly.

Check Automation Features:

Go to the automation center of your platform.
Review the available automation recipes to see if there are options to include sub-item data.
Look for custom automation options where sub-item data can be referenced.
Add a Trigger for Sub-Items:

Select a trigger for your automation, such as when a sub-item changes status or is created.
Include Sub-Item Fields in Email Automation:

If your platform supports it, configure the automation to pull data from sub-item fields.
Use placeholders or variables (e.g., {Sub-Item:Field Name}) to include sub-item data in the email body.
Workaround: Mirror Sub-Items to Parent Items:

If sub-item data cannot be directly included, create mirrored columns in the parent item to display the sub-item data.
Use the mirrored data in your email automation.
Custom Integration (If Needed):

For advanced needs, consider using integration tools like Zapier, Make (formerly Integromat), or custom API scripts to retrieve and use sub-item data in email automation.
Example (For Monday.com):
If you’re using Monday.com:

Go to Integrations > Emails & Activities.
Choose an automation recipe like:
“When a sub-item status changes to X, send an email to Y.”
If the default automation doesn’t include sub-items, use the Mirror Column workaround.
Alternatively, use Monday’s API with a tool like Zapier to fetch sub-item details.
