Create email automation from subitems

Hi,

I’m looking for a way to automate sending an email from a created subitem.
So, with a form that I fill in, there is automatically subitems created. These subitems are people with their name and email address.

So see it as

Item 1 - date - X - Y - Z
Subitem John Doe John@doe.com
Subitem Mary Doe Mary@doe.com

Now i would like an automation that if item 1 reaches a certain date, it emails all subitem persons from that item.

Is this possible?

Hi Mickey! Welcome to the monday Community! :waving_hand: Could you please share a little more context about why you have the people and emails created as subitems on your board? Although subitems are tied to their parent items, subitems technically exist as a separate level on the board. This makes automations and formulas tricky to set up if you are looking to tie or create dependent relationships between the data between both the subitem and item levels.

For example, I can roll up the emails in my Email Column at the subitem level:

A new Mirror Column will appear at the item level, which allows me to view the values from the subitem level:

However, board automations do not fully support all subitem fields or Mirror Columns. If I were to set up the custom automation below and select “Email (column)” in the “someone” field, you’ll see that the Mirror Column for my subitem’s Email Column does not appear as an option:

For your use case, while not ideal, it may be best to enter the emails at the item level. Currently, there isn’t a native workaround on the platform for your use case. If you’d like to keep your current board structure, you may need to review third-party apps in the monday Marketplace to see if they can help achieve what you’re looking for.

Thank you so much for your reply :)!
In my case, I’m having a “module” as an item (Kind of like a TED-talk) and the subitems are all the people attending that TED-talk.

The “Module” has a date to it, when it starts.
I’d like a personalised automated email to all attendees after the event ends that says something alone the lines of “Thanks for attending {Attendee}. blabla…”
That’s why I have them as sub-items in my parent item.
Is that at all possible?

If there is any 3rd party apps doing that, do you have any suggestions (Or how do I search for those the best?)

I think we have the perfect workaround for that! Have you tried our Subitem Automations app yet? It’s the leading app when it comes to subitem-related automations. I’m sure you’ll find it helpful!

Here are the steps –

  1. Using Monday.com’s native solution, create a custom automation like this:

  2. Using the Subitem Automations app, use this automation:

When the date arrives, the status column on the parent item will change to a specific status. And when that happens, all of the assigned people in the subitems’ “Owners” column will be notified. Very similar to what you’re trying to do!
