Monday.com vs. Smartsheet.com

We have been in monday.com for 2 years now and we have someone looking at Smartsheet as a possible replacement - Smartsheet

When asking why we should look at a replacement/competitor, I’m told there are three reasons:

  1. Security - Access to documents only for a specified time and the right time. For example, a technician working on an Item can view a process checklist or document only when they are assigned and working on an item. Once they are completed, they can no longer view the document or process checklist. (This seems to be an easy solve in monday.com - users can only view/edit items when assigned based on permissions. Once the Status is completed, they are unassigned from the item). I think there are also concerns about downloading sensitive information. Is there a way to prevent users from downloading Workdocs or Files associated with an item - or see who downloaded them?

  2. Advanced Automations - The ability to add conditions (if/then) to automations for more robust workflows.

  3. Parent/Child/Grandchild/etc. - The ability to go beyond subitems for sub-sub-items.

I’m coming from a place of wanting to keep the platform, as a lot of time and energy has gone into building solutions, but I want to remain open to feedback. I am not well-versed now in how Smartsheet handles these three issues or if they are more robust than monday.com.

Having worked extensively in both platforms I’d opt for Smartsheet. Smartsheet is expensive option though.

My biggest issue with monday is dependency on apps and limited scope of custom automations and formulae.
The item and subitem relationship is not really pure, they’re more independent so data transfer is difficult.

Another issue is you have no idea where your feature request is. Most of the basic features are a feature request and they’ve not been implemented since 2022. One example is ordering tabs/views in a board, Editing permissions.

Monday has more focused on looks over functionality and that is fine. It is not for every case.
