Outlook Automation - Additional parameter

Hello Monday World! @VickyP

Disclosure - I know we can use the simple Monday Automation for my Question but we are trying to avoid mass notifications to users so we felt using the Outlook Integration was the answer. Unfortunately we can’t get the Outlook integration to do what what we need so was hoping someone here could help me understand the limitations of integrations vs Automations.

We want the Outlook automation to look like this Monday Automation!! :slight_smile:

Problem:
I’m trying to use the Outlook integration and want to use this template

and when i add it to the board it looks like this

After the statement “status changes to something” HOW Can I ADD another parameter from another column? which I can easily do in Automations?

Do these 3rd party Integrations only provide a FIXED List of automations (outlook below) without any customizations? If the answer is yes i would ask the community vote to allow additional parameters to 3rd party integrations.

What you want to do is definitely possible.

You need to build an automation from scratch and then add another “paramater” in the automation.

I added some screenshots, if you follow these steps, you can do what you want to do.

So if reading right it looks like I can embed the outlook automation within the Monday Automation for the email send part??? I see the outlook icon in the screenshot so I’m assuming this, right?

One other ask. We originally had all notifications in Monday turned off so we are thinking to change it to only notify for mentions or assignments….will the automation still work?

Yes, you can use it within the Monday automations.

The notifications settings are for notifications within Monday, so if you send an email with Outlook, you’ll get it, no matter your notification settings.

Only thing is according to Monday notification settings i don’t think we can mute ALL notifications (in RED) and still run an Automation which is what we prefer…thoughts??..so we are thinking to use the notification (in Blue) as we are attempting to minimize/eliminate users from getting any type of notifications on this board/project.

You’re referring to notifications within Monday or from Monday.

The email you send with Outlook is not seen as a notification and therefore not impacted by the settings.

@coach34 @patrick7 @VickyP - Just throwing this out there as it’s something I use to manage email notifications from Monday. I’ve created a rule in Outlook that dumps all notifications from Monday into a unique folder. Using that same idea, you could include specific parameters to further whittle down the traffic and/or add to different folders to keep yourself organized. Maybe that along with the automation will help?

I think this is a great idea. I have not used that function in Outlook. I would presume this would occur as a function of Outlook and not monday, correct? Thank you!

Yep, Outlook would manage that traffic and put it where you want it. Kind of slick. Good luck!
