Restricting Activities

First time user to the board and still relatively new to Monday having spent years using Salesforce…

We log activities under the Account board (e.g., general account topics) and Leads board (i.e., specific to a business lead). The boards are connected such that when one creates a lead they need to identify (link) the account. Does anyone know if it is possible to restrict those activities that are logged under the Opportunity from flowing to the Account board? The Monday AI bot initially said No and then provided some generic answers around using automation:

Create a Custom Automation: Go to the Automations Center and select ‘Custom Automation’. You can set up a rule like ‘When an activity is created in the Account board, and it is not related to a lead, do not sync it to the Opportunity board’.

I cannot figure out how to create such an automation. Any assistance would be greatly appreciated.

I do not believe its not directly possible to completely prevent activities logged in one connected board (Opportunity) from appearing in another (Account) due to the way board connections and mirroring work in Monday.com. However, you could try and manage this scenario by leveraging Automations and Filters strategically. Here’s a suggestion to try and handle it:

1. Use Status Columns and Filters:

  • Add a status column to your Account board and use it to tag activities as “Lead-related” or “General Account.”
  • In the Account board, create a view with a filter that hides “Lead-related” activities. This way, activities related to leads (Opportunity board) won’t show up in the general account view.

2. Custom Automations:

If you want to refine the synchronization process further:

  • Go to the Automations Center.
  • Set up a Custom Automation similar to:
    • When an activity is created in the Opportunity board and matches certain criteria (e.g., a status, a tag, or specific keywords), do not sync it to the Account board.
  • Unfortunately, Monday.com doesn’t natively offer a “do not sync” action, so you’ll likely need to use a combination of criteria to restrict syncing. For instance:
    • When an activity is created in Opportunity board AND its status is “Lead-related,” move it to a dedicated Lead view within the Opportunity board instead of syncing to the Account board.

3. Use Make (formerly Integromat) or Zapier for Advanced Workflows:

  • If Monday’s built-in automations don’t meet your requirements, use external tools like Make or Zapier.
  • Set up a workflow that triggers only when specific conditions are met (e.g., the activity has a specific tag, status, or field value), preventing those entries from syncing to the Account board.

4. Manually Review Linked Items:

  • If automating is too complex or not feasible, you can manually manage the linked items by reviewing the activities in the Account board and un-linking any items that shouldn’t flow through.
