Send email to email not on Monday

Description

Be able to send a email to an email address that is not linked to Monday. E.g. A shared inbox/ person that does not require board access.

We require emails to be sent to email adresses, which may not be individuals, to update either groups of teams who have access to that shared inbox

hey, @inny12 , You might want to try Email to Tasks for monday.com . It lets you send and receive emails directly from Monday to any address (even shared inboxes or people who don’t have access to your board). All messages stay linked to the relevant items, so you can keep communication organized in one place. :rocket:

Thanks- but I’m looking for the standard automations as they can send to people internally, whereas we need to send the email automation externally.

@inny12 Not sure which email service you’re using, but monday.com has a built-in email integration (via Gmail or Outlook) that allows you to send emails to any address—including external recipients or shared inboxes—when specified in an email or text column.

For example, you could create an automation like:
“When status changes to X, send an email-to-email column which has the team email - team-support@company.com.”

This ensures updates reach the right team without them needing access to Monday.

Additionally, if you need emails sent to a few constant addresses without updating each item individually, you can set up a monday.com workflow to trigger the email automatically. Alternatively, if you prefer not to use workflows, you can use a batch action with the first approach to set the email for all relevant items at once.

Hi - this would require adding an email address column to every line of my project board which seems an unnecessary waste.

The integration should be able to send to a direct email address as well as the current in built options.

@inny12 I understand—it would be quite a task to keep updating items. If you’re on the Pro or Enterprise plan, you could use the Workflow feature instead. It doesn’t require an email column and functions exactly the way you’d like.

Hi. Yes I can do that and have been using this workaround. But this just highlights the fact that it is capable and should be an option in “Automations”
