Server support with automatic control regular payments

We have bunch of clients on support. To manage current status, contact data, payments and other I have created automation which saves a lot of time & money.

New clients are given Next payment date.
Automation check If date occurred, and change status to “Create invoice” & notification is send to responsible person.
Person create invoice & attach it in special field & change status to “Invoice send” (email is send to client with invoice). Automatically “Pay Till date” is set to current date + 7days.

If “Pay till date” arrives status changes to “Reminder 1”, email is send to client with message of invoice overdue. “Next reminder date” is set to current date + 7days.

If “Next reminder date” arrives, status is changed to “Reminder 2”, email is send to client with message of invoice overdue. “Next reminder date” is set to current date + 7days.

If “Next reminder date” arrives, status is changed to “Reminder of service close”, email is send to client with message of service soon close. “Next reminder date” is set to current date + 2days.

If “Next reminder date” arrives, status is changed to “Service close”, email is send to client with message of service close and penalties. Another message is send to person who responsible for service close.

Important note!
Date check should not have same time, like 7AM. Each reminder should be checked on its own time to work everything correct.

Yes I use gmail integration. And when status is changed email automatically is send.

A great example of how monday automations and integrations can keep a process streamlined and efficient and to ensure that nothing gets forgotten.

Another great automation is team management.

  • When person add vacation date all team members are notified.
  • Each team member set birthday. Also when date arrives all team members are notified. Question is if can be notified all except person which has birthday?

We’ve heard before the request for automations to exclude a certain person (usually the person who is to be notified (i.e. if they do something on the board or create an item they don’t need to be notified of the action).

It could also be a request for the person assigned not to be notified. We’ll pass along this feedback!!

This is amazing!

I’ve got a situation where some of my clients are paid, some are past due, and I’m having trouble tracking the bank deposits with who is paid and past due. What are you folks doing to manage this?
