I have been beating my head off the wall, hopefully this can be done.
I have a column in which our product ‘Turned On’. I want to be reminded annually 2 weeks before this date. Ideally it would set a status column to a certain value.
Can this be done with the limitation of automations not being able to reference formulas without needing to buy another app?
I totally get your frustration—this kind of automation can be tricky with Monday.com’s limitations on referencing formula columns. However, there is a workaround that might work for you!
Since automations can’t directly reference formula columns, you could use a date column instead. Here’s a possible solution:
Create a Date Column – Instead of relying on a formula, manually enter or use an automation to set the “Turned On” date.
Add an Additional “Reminder Date” Column – Use a simple automation to set this to 2 weeks before the “Turned On” date.
Set Up an Automation – Use the built-in automation:
4.“When date arrives, change status to something.”*
This will allow you to update your status column two weeks before the anniversary date each year.
If you need this to repeat annually, you can use a recurring automation to reset the reminder after each trigger.
Hope this helps! Let me know if you need further clarification.
Hey Clare, what I can’t figure out is how to set an automation to make “Reminder Date” 2 weeks prior to “Turned on Date” OR Make “Reminder Date” 50 weeks AFTER “Turned On” date. can you provide clarification?
I am not sure how you have designed your colums, but with automations you can trigger a status based on a date. You can also set a reminder before a date has arrived. I am not sure if this answers your question, let me know if you have any follow up questions!
Great question! While monday does not currently support pushing a date back natively, I wanted to share a potential workaround to achieve the result you’re looking for…
Since we can’t push a date back, we should start by setting the Reminder Date first and then use it to set the Turned On Date rather than the other way around for the initial trigger:
Create two Date columns:
Reminder Date (this will be 2 weeks before activation)
Turned On Date (the actual activation date)
If you know when a product will be activated, you can set this manually.
Use an automation to set Turned On Date from Reminder Date
“When Reminder Date arrives, push Turned On Date by 2 weeks.”
This ensures that when the Reminder Date arrives, the system automatically schedules the “Turned On Date” for 2 weeks later.
Once the Turned On Date is set, you can automate the recurring cycle:
“When Turned On Date arrives, push Reminder Date by 50 weeks.”
Since there’s no “push back” option, we instead use a Reminder Date first and push the “Turned On Date” forward. By repeating the cycle annually, you ensure automatic reminders and status updates without manual intervention.
Let me know if this setup could work for your use case!
Hey Blair, I don’t feel any of the solutions provided totally nailed it and, more importantly, nobody shared a video of their solution with you and it’s pretty hard to get what people are talking about with complex automations if you can’t see it in action. I’ve just recorded a video and will share it as soon as it’s finished processing.
The approach I took was to not mess with the product “Turned on” date as I think it’s likely you will want to use that in reports and formulas (eg to show average product activation age etc). Which means we need a second date column for our recurring reminder. And while we can set this to be 2 weeks before the anniversary of the product turned on date, it’s much cleaner and simpler to have it as the true anniversary and just trigger your automations 2 weeks before the anniversary arrives. Give me 10-15 and I’ll share the link to the video in my next comment
