Uniform Inventory- formulas with Number field

Hi Friends,
I have searched the archive and have not found any info on this. I’m interested in hearing how any of you are using Monday for Uniform checkout and Inventory?

We are a security guard company that responds after hurricanes. We are trying to do a uniform inventory and check out system to distribute uniforms in the field and have it update a master inventory list and overall inventory count by size and location. So when a uniform is checked out, we want the form to reduce the total number in the inventory and update an inventory sheet for each item as statuses change.

I created a form to use as a uniform checkout form for field managers to fill out when uniforms are issued. We have the guard fill this out and sign for the uniforms they are being issued, then HR generates a PDF of the form, attaches that to the employees file, and manually updates our uniform inventory. We would love to automate some of this if possible.

I have a separate board that lists the overall inventory, with each uniform listed as an item by size and a number column to indicate how many of that uniform and size are in inventory.

I have another board that lists every single uniform which has a unique uniform number, and indicates the name of employee that particular uniform was issued to, or what inventory location that specific uniform is currently in, and all the details about each individual uniform, like date purchased, supplier, ect. We use this for other types of equipment as well like computers and radios.

Is there a way to set a formula so that when the uniform checkout form is completed, the quantity issued on the form for that item/ size is reduced in the total inventory in the other sheet? So we get a realistic idea of what’s in stock? Is there a way to also have it update the main inventory catalog to indicate that number has been checked out and to whom?

Is anyone doing anything like this? Can I use a lookup field that looks up from a different board and triggers actions on a different board? I tried to do this but I didn’t see options to do it with a Numbers field. I also didn’t see how to complete the form to alter a different sheet, only to ADD a new entry.

I would love to see similar systems anyone is using or hear any thoughts or ideas. Any help or guidance would be appreciated! Thanks for your time!
