Workflow "Send Email" action should allow all owners to edit

Any owners of a workflow automation should be able to edit the “Send Email” Gmail action.

What are you trying to achieve

I create a lot of automations for the entire company. The workflows’ “Send Email” action will not allow any other owners of the workflow to edit it. The action stays greyed out and the owners can edit all other aspects of the workflow besides the email. This has made it very difficult for me to hand off workflows that send emails to other departments. I would like to be able to create the automation to their liking and hand it off in a way that the department can maintain or edit it in the future.

I believe this is happening because the “Send Email” (Gmail) action is connected to the specific Google account that originally set up the integration.

So, when monday.com sees that the Gmail token belongs to a different account than the one the current editor has connected, it greys out that email step. You can still edit the rest of the workflow - just not the email block.

Guessing this is because of Gmail’s OAuth security model. monday.com won’t allow one user to edit or send emails using another person’s connected Gmail account.

A practical workaround is to create a dedicated service user (a separate user in both Gmail and monday.com - admin or member). Connect Gmail from that account and build all email workflows under it. That way, the connection isn’t tied to one individual, and workflows can be handed off and maintained more easily.

That said, having more flexibility around ownership here would definitely be a valuable improvement.
