Automating emails with third-party integration

Hi! I’m a new user to Monday.com trying to set up automated emails for my organization’s online donors. I am using Zapier to connect our donations platform, QGiv, to Monday, and Gmail for the automated emails. I have had success with doing this when I am the owner of the automation, but if I transfer ownership to my supervisor or if she generates the automation, it stops working. Contacts are still imported from Zapier, but the email does not send. I’ve tried duplicating the automation and tried deleting it and having my supervisor recreate it, with no success. Does anyone have tips on possible solutions?

Has your supervisor linked their gmail and authorized it with Monday?

links automations and integrations to the user who set them up. If that user loses access or their permissions change, the associated automations may stop functioning. This is particularly relevant when using integrations like Gmail, where the connection is tied to the user’s account.

May I ask what kind of emails you need to automation? Alternatively, if you’re open to apps, there’s the Board Email Reports app that can automate Board reporting or reporting on Item updates.
For this app, no integrations need or adding external customers or a team as guest users (that are outside of monday.com). Just mention their emails in the automation rule.

On a board/project level:

  1. New and updated tasks
  2. Status updates
  3. Budget, Costs, Revenue changes
  4. Timeline and deadline overdue
  5. Time Tracking changes

On an item/task level:

  • Updates by a specific employee
  • Updates mentioning a specific employee
  • Updates containing attachments
  • Status updates
  • Last updates

I recommend disconnecting Zapier and then have your supervisor reconnect it to the Monday account herself. This will reset the connection and might help resolve your problem.
