My team uses a monday.com board to track expenses and reimbursements for technology and home office stipends. Right now, we have employees listed as main items with their purchases as subitems. The amounts of these subitems are then summed up with a Mirror Data column.
Would like to add an automation that changes the status of an employee based on the amount column. For example, if the employee has spent $250 of a $300 stipend, it would show as not fully spent. If an employee has spent $300 of a $300 stipend, it would show as spent. Hopefully this makes sense.
If anyone has any idea on how to create this automation, I would really appreciate the help!
From the sounds of things, I am not 100% sure we can achieve this natively however I’d love to grab a few more details from you to ensure I am across your end goal.
That said, to clarify, are you mirroring the data from the subitems into the parent item and based on this amount you’d like to update that status column in the parent item? Apologies if I’ve misunderstood!
Instead of mirroring the sub-item columns to get the sum in the parent item, you just add a number column. In the video below, I added another number column called “Remaining”.
Here is how it works:
As you can see if you add a purchase amount or change it, the Total Purchases column is updated at the parent level, as are the Remaining and Status column. Also if you change the Allowed column, the Remaining and Status columns are updated.
How is this done? With 2 formulas and 2 automations.

That said, it sounds like @GCavin has a workaround that looks like it could work for you! At this stage, you would need to look into 3rd party tools to achieve his as it is beyond our supported functionality so I’d definitely recommend you testing out the app or exploring ou marketplace for additional options - do let me know if you have any issues!
