Duplicating items so that dependencies within subitems change based on new project date

Hi Everyone,

I am looking to use subitems within an item as sequential tasks that notify the next person in the sequence when their part is ready to start, but still have the ability to shift timelines without pushing the project due date.

A little background:

We are currently using a board where each item is a project with routine tasks, and the subitems are sequential tasks that trigger the next person in the sequence to start their tasks once the previous one is done using notification automations. This is set up with a dependency in the subitem that is strict so we can use it as a “template” and just duplicate the item and change the due date to auto populate the other dates using the lead dependency feature whenever we need to restart the project.

I want to keep the ability to duplicate the “template” item and auto populate the timelines since it is a routine project. I need to be able to notify the next person in the sequence once the previous subitem is done. However, I would like the ability to “speed up” or “slow down” some tasks without shifting the last subitem (project due date).

We tried using a flexible dependency but then you have to change every timeline for the subitem manually. This time between the tasks will stay the same, only the actual dates themselves will switch, so not super efficient to update the timeline each time we restart the project.

Does anyone have a suggestion or work-around for this?

We had the same challenge and most of my users are business users so we needed a simple solution. What we have done is have 2 date columns - one is the calculated date that is linked to the dependency column. The other is a due date that can be populated manually based on project progress.
Not the most ideal scenario, but its working for us.
