Edit PDF Forms from Monday

Hello everyone.
After contacting support regarding this issue (I’d like to highlight that the support received was prompt and attentive), I’m sharing my request here as a suggestion for a new feature, one that would be very useful to me.

— Suggestion —

I would like to be able to fill out and save PDF forms directly in Monday.

— What would I use it for?

I use Monday to plan production for a small graphic design studio. My Monday skills are basic, although they’re useful, and we’ve been using it for almost three years now.

In our main dashboard (a production planner), each group corresponds to a machine in the studio, and in each group, I create the jobs I assign to them.

Each of these jobs contains different information (status, priority, inks, format, a print preview, etc.) but also contains something very important: a PDF that I generate beforehand in LibreOffice Calc with all the most comprehensive production data (models, ink consumption, various calculations, etc.).

Currently, these PDFs are printed on paper and then filled out by hand by the operator of each machine when each job is completed. But of course, I want to digitize this process and eliminate paper. Therefore, these PDFs would contain some form fields, so the operator can fill in that information at the end of each job, directly in Monday, from their phone.

For all these reasons (sorry if the introduction was too long) I would like to be able to fill out and save PDFs with form fields directly in Monday.

I hope I’ve explained myself correctly.
Best regards to everyone, and sorry for the translation.

Yes, this is possible with The PDF Maker(app.thepdfmaker.com).

With The PDF Maker, you can design your PDF template once, then automate the process so that whenever a new response or form submission is made, a PDF is automatically generated. This PDF can be stored in the respective column inside Monday.com—no need for manual downloading or uploading.

You can customize placeholders to match the exact data fields needed, and map values directly from Monday boards into the PDF layout. This ensures consistent, professional documents generated every time a new job is assigned or completed.

Every new response triggers the PDF generation automatically.

Let us know if you’d like help setting it up.

Hi @SeriFaex

it absolutely makes sense, and you’re definitely not alone in wanting to digitize paper-based workflows like this. :page_facing_up::sparkles:

:white_check_mark: While monday.com doesn’t natively support editing PDF forms directly inside the platform (yet), you can achieve your exact workflow using the app DocCreate.

Here’s how DocCreate can help:

:small_blue_diamond: Design a smart PDF template (or use your existing PDF layout)

:small_blue_diamond: Pull job data automatically from your Monday board into the form

:small_blue_diamond: Allow team members (e.g., machine operators) to fill in additional fields via Monday updates or item columns

:small_blue_diamond: Auto-generate and save the filled PDF into a File column on the item

:small_blue_diamond: Optionally, email the filled PDF to yourself, clients, or other team members — no printing or manual uploads needed!
