Extract update via email address

Does anyone know how to extract the “Update via email” address from the updates section? I tried Monday’s AI feature but that doesn’t work.

Are you wanting to have it show in a column?

Hi Desiree. Yes, I have an email column that I’ve been copying and pasting the updates email address into. I tried to use Monday’s AI companion to copy it but it’s not working. It would save me a lot of time if there’s an automation that can extract the “update via email” address and paste it in the email column.

Amanda,

I’ve never looked into this before, so I just learned something new. The email address it gives has specific formatting. I just made a test board and these are the two email addresses for it, the only difference is the ‘pulse’ which is also the Item ID

I have some ideas of how to make this work. Which product (CRM/Work Management, etc) and level (Pro/Enterprise) do you have?

Hi Amanda,

It is possible to do this, but you’ll need to use either:

Step-by-Step Process

Intro
The item’s update’s email address can be found in Updates section. You are going to want to copy it and paste it so that you can extract the correct email per item.

Makeup of Item’s Update’s Email Address:

Part 1: Directs attention to the item’s ID.

Part 2: The Item’s ID.

Part 3: The rest of the email address. Should be the same throughout the company’s server on every board and workspace.

WorkFlow option (only available for Enterprise)
Easiest option by far.
Step 1: When item is created in the correct board… This is the trigger. The trigger can be anything, such as when item is created, when status changes, and etc..

Step 2: Gather that item’s data.

Step 3: Combine the information to create the email address and place it in an Email column.

AI+Text Columns+Automations
Note: Make sure you have on your board 2 additional Text columns and the Item ID column.

Step 1: Set default item value of Text1 to Part 1 of the email address (the part before the Item ID, see above).

Step 2: Create an AI automation stating that when Text1 changes, to change Text2 to Text1 & Item ID & Part 3 of the email address (see above).
In the AI instructions, you must use the word “Extract” along with placing the full string in quotations. See the picture. You will select Text1 first, then Item ID, then paste Part 3 of the email address.

Step 3: Create an AI automation that will extract the email address from Text2 into the Email column. I decided to do it on the item level, but it is fine to do it through automations as well.

Let me know if you have any questions.

Thank you for pointing me in the right direction. I didn’t realize the email address was fairly standard with the only difference being the Item id was made part of it. All I had to do was create a Zap in Zapier to build the email address for me now that I understood the components. Thanks again!

I was playing around with the provided solution and found that if I told the AI to create an email address in the text column, it did. And then when I go to use an automation it recognises that the text column as an email column. Surprised it works that way but very cool it does.

Ah, I’m going to have to try that too!
