I wanted to share a workflow that has completely simplified managing leads and client requests.
Instead of switching between an inbox and a CRM to copy details manually, there is a way to create structured CRM tasks directly from emails with just one click using Email to Tasks for monday.com.
Let’s look at this from the perspective of a furniture company. A Procurement Manager named Olivia sends an email about a hotel project in Croatia. She shares details such as furniture requirements for guest rooms, reception areas, and outdoor spaces.
Traditionally, all this information would need to be copied manually into the CRM, which takes time and increases the risk of missing important details.
You can open Email to Tasks from Gmail, the tool automatically collects key details such as the subject line (used as the task name), sender’s email, name, and title. The appropriate workspace and board in monday.com can then be selected.
All you have to do is choose where this task should land in monday.com – for example, your CRM workspace and the Contacts board.
If similar requests are received frequently, presets can be created. This feature automatically fills in the chosen workspace, board, and group, streamlining the process and reducing the chance of errors.
The information from the email can be mapped to the correct fields in monday.com. For example, the client’s name goes into the “Name” field, their title into “Title,” and their email address into “Email.” Additional information from the email body can also be added to custom fields like “Deal Size” or “Next Interaction Date.”
After creating the task, it appears in the CRM board in monday.com, complete with all the necessary details. From there, it can be updated, assigned to team members, and tracked like any other task, ensuring no lead is ever lost.
