Item lives on multiple boards

Great because I have the problem when I want to create formula with mirrored column but it is impossible because not recognized as data useable in the board…

Hi there! Many times I find myself in need of an “alias” kind of feature for my items, so that I could have a “copy” of them in two or more boards, that stays updated in real time. I used the term “alias” from the homonymous feature offered for Files Folders. It would also be okay to click on an element and be brought to the original board where that item had been created.
Anyone in my situation?

I would like to have this feature too!

When I create a new item on one board, I would like to create the same item on multiple boards that each have different functions but share the same item name. The Link to Item and Mirror is not appropriate under the circumstances. So far, I haven’t found a way to achieve this.

We do have an automation to create an item in another board when a new item is created in your first board, but it works best when items are being submitted via a form or integration:

If you are manually adding new items to a board, then the automation will trigger as soon as the item is added and only carry over the item name to your other board.

With that being said, would you be able to trigger this automation with a status change instead?

Thank you for the response. I’ll try and describe in a little more detail.

When I create a new item, I would like the item with the same name to appear across different boards, each with a very different function. Status doesn’t really help as the Status will vary from item to item, Board to Board.

For example, let’s say I create an item Midnight Cafe, ideally, the item will repeat - unlinked - across multiple boards in specific groups for different aspects of the project - Graphics, Materials, Specs, Design Development, Locations, etc.

I do have specific boards / groups that are linked, but others that it’s very important they not be linked. I am using tags for a high level view.

At the moment, I have 5 Boards where I’d like to use this feature so I don’t have to input manually each time.

@Susan_Bolles, I think what @melissav-monday.com was suggesting was to use a specific status column as a trigger. This column doesn’t even need to appear in the other boards. The reason that this would be helpful is that it would enable the automation that will copy the item without the linking. Assuming that you can use that method, you could create multiple copies of the same automation one for each board.

The board that would trigger “create item” has a status of none. For a possible work around, I guess I could create an invisible private board with no function other than to create items on other boards.

Update: Ok, that seems to work - I essentially created a hidden Master List and then set up the 5 distinct automations based on status change for each of the Boards.

To clarify, I create a new item on the Private Board, change status to Done. The automation adds the same item to the other boards where the automations on those boards assign person, etc.

SO frustrating, It seems really basic to have an item across multiple boards and groups. I’ve been at this like 20 hours now, without exaggeration. I want to use monday, but I am about to give up!

I tried the automation but I dont have the option to ‘link’ them!

I’m new to Monday.com and need some help setting up the below.

I have a number of users with to-do lists in boards. We’re moving to a Sprint-type methodology and want to create this setup ideally:

  • users can still use their boards (which act as personal backlogs in effect; and we aren’t introducing too much change at once by forcing them to give them up)
  • each of their boards has a number of sprint groups added (one per sprint)
  • users move/add items into these sprint groups
  • when this happens, items are mirrored and linked on a new board, the “sprint board”
  • changes to either board are reflected in the other

I’ve tried with some of the automations and mirror columns to create this setup, but can’t find a way to completely mirror a whole item - the entire row, all columns.

Am I missing something? Or is this not possible?

Hi @redlion - Welcome to the community! You will be able to do this very soon(-ish). The multi-mirroring capability that is coming out soon will support what you want to do. Not sure when it will be released, but hopefully in Q2.

While the roadmap encompasses our current plan, it is subject to change and evolve. In order to provide you the roadmap, we do require a signed NDA. If you write into support, they should be able to send you what’s required for vis.

Aside from the connect boards column’s expected improvements, another potential solve would be if you would like to use a Dashboard’s Table widget to bring in information from each person’s personal sprint board to showcase the current sprint in a comprehensive way.
For instance across each board, you can filter for just the results in the current sprint:

Perhaps this could work for you if you choose not to go the mirroring route!

Hi there! Apologies if this question has already been addressed. I had trouble finding anything specific on this issue.

I am hoping I can find a solution for this problem. I am working on creating a Master Board for my team. Every project we are working on is created in the Master Board. Oftentimes, projects will require multiple designers or different designers throughout the project process. Each designer has their own personal board that shows what they’re assigned to and gives them the option to add their own subtasks. I have created automations that if a designer is assigned, an item is created in their personal board that links back to and mirrors information from the Master Board.

I’m finding that if I am assigning a project to Designer B, but I have already assigned the project to Designer A, a new project is created for Designer B and a duplicated project is created for Designer A.

Does anyone have any tips for how I can work this out so that we aren’t having duplicate projects created for every project with multiple designers?

For your use case, one way you can handle the duplicates projects created is by using the Duplicates and Uniques app. You can create delete templates in the app and run them as integrations for the Designer boards. This way, when a duplicated project is created, it will automatically be deleted. If you have any questions, you can always reach out at support@kolaai.com

Did you ever get this resolved as I’m finding exactly the same issue where it duplicates multiple times…

Is there a way to mirror one pulse across one or more boards so that they are identical across any board that pulse appears on? Here’s my use-case: I create a board for my client that contains all of the video projects we have done for them and are currently working on. They are able to track the status of that video project all the way through all of the stages of completion on their board. But I ALSO need that video project (individual pulse) to appear on my “Master Projects” board where I can see all of the projects we are working on across multiple clients. I would assume that on the client board and on the master projects board ALL of the columns would need to be identical for this to work (an that’s fine) but is there any way to accomplish this? Thanks.
