mondayCRM massmailing campaign scheduling

Is there a way to schedule a massmailing sending?

It seems that the only option is to send mass mailings on spot, but it is such a basic feature that, being new to mondayCRM, I must be missing something obvious.

Thanks in advance,

Hi Bermat,

I found this for you follow these steps,
Scheduling mass mailings is indeed a crucial feature for effective communication management. While Monday.com has powerful automation and CRM features, it doesn’t natively support scheduling mass mailings directly within its platform. However, you can achieve this by integrating Monday.com with other tools that specialize in email marketing, like Mailchimp, SendGrid, or any other email marketing service that supports scheduling.

Here’s how you can set it up:

Solution: Integrate Monday.com with an Email Marketing Tool

  1. Choose an Email Marketing Tool:
  • Tools like Mailchimp, SendGrid, or any other preferred service can be used. These tools have robust scheduling features for mass mailings.
  1. Set Up an Integration:
  • Use Zapier or Integromat (now Make) to integrate Monday.com with your chosen email marketing tool. Here’s a step-by-step guide:Using Zapier:
  • Step 1: Create an account on Zapier if you don’t have one already.
  • Step 2: Create a new Zap.
  • Step 3: Set Monday.com as the trigger app and configure the trigger event. For example, “When a status changes to ready for email.”
  • Step 4: Set your email marketing tool as the action app. For example, Mailchimp.
  • Step 5: Configure the action to add the contact to a specific mailing list and schedule the email.
  1. Schedule the Email:
  • In your email marketing tool, you can set the time and date for when the email should be sent. This can usually be done under the campaign scheduling options.

Detailed Example with Mailchimp:

  1. Set Up Mailchimp Integration:
  1. Configure the Trigger:
  • Trigger: When a new item is added or when a status changes to a specific value in Monday.com.
  1. Configure the Action:
  • Action: Add/Update Subscriber in Mailchimp.
  • Map the necessary fields from Monday.com to Mailchimp (e.g., email address, name).
  1. Schedule the Email in Mailchimp:
  • Once the subscriber is added to the list, create an email campaign in Mailchimp.
  • Choose the “Schedule” option to set the date and time when you want the email to be sent.

Automation Example in Monday.com:

  1. Create a Status Column:
  • Add a status column in Monday.com to trigger the mailing process. For example, “Ready for Email.”
  1. Create a Zap in Zapier:
  • Trigger: When status changes to “Ready for Email.”
  • Action: Add/Update subscriber in Mailchimp and create a scheduled campaign.

Henry, many thanks for this clear, easy to follow answer.
It is greatly appreciated.

Do you know if massmail scheduling is on the roadmap?
I’m sure I am not alone on this.

Having said that, I am proficient on Mailchimp and I find the no frills approach to the massmail feature refreshing and confortable to use on a day to day basis.

Best regards,

Hey Bernat,

If you have access to the Workflow Builder you can already use it ti schedule mass emails.

The scheduling will be more or less fixed (something like send email after 5 hours)
You just need to setup a status column in the Board you intend to send the email in.

Them create a workflow which triggers upon a status switch and then input a delay action into the workflow (for example delay 5 hours). Lastly you‘ll add an action step to send out an email.

Then once the status is switched (simply select all rows you want the mass email to reach) - the email will be sent to each email in each row individually after 5 hours.

Yes, you can schedule mass mailings using tools like SMTPmart, SendGrid or SMTPget. Check if MondayCRM offers scheduling options or integrate with these services for easier scheduling.
