Move Form to Item, Move photos from Form to Item

I created a form to use as a checklist for our Subcontractors to complete on every job to ensure they aren’t missing any steps. The form includes True/False statements for when a task is completed and uploaded images. Our jobs are tracked on a separate board and essentially move stages from lead to proposal sent to won/schedule to in progress to complete. We would use this form at the “in progress” stage for the subcontractor to complete and send back to us for validation.

Is there a way to connect the completed form to the Item (the job itself) on another board? And is there a way to have photos from the form automatically upload to the Item on the other board so all related photos are stored in the same place?

Our Monday form builder app, Easyform, supports the Connected Boards column. It allows you to create a task and connect it to a job.

So, for your use case, I would create a Connected Boards column with a two-way connection. This would allow us to create a task in Easyfrom where you can select a job and upload a file. The task will be linked to the Job, and its file will be mirrored in the Jobs board.

In addition to that, Easyfroms special features are:

  • Connected Board support:
    • Limiting selection to a single item.
    • Displaying items from multiple connected boards.
    • Limiting select options to items from specific boards where a column is connected to multiple boards.
    • Pro plan feature - item default values support - set default values for connected board columns hidden in the form.
  • Upload files to your board’s file columns, with support for:
    • Allowing only specific file types, such as images or pdf.
    • Limiting the number of files that can be uploaded.
    • Setting a maximum for file size.
    • Manually retrying uploads if some or all of them fail.
  • Set default values for the response item’s hidden group, status, connected board, and dropdown columns. To do so, select Item default values from the Settings menu.
  • Add the item’s group as just another field to the form.
  • Control the page’s top margin with the ability to set different values for desktop and mobile. To do so, select Page from the Settings menu.

I have actually set this exact situation up for a subcontractors we are working with. The basics you need to do this out of the box are:

  1. Dedicated Form Board
  2. Two-way connect column to your project board.
  3. File Column

You can approach it a few different ways but the framework of automation would be to either:

  1. Have the connect column select on your form to select the right project. The only limitation is the user of the form has to have access to the project board which may not be desirable.

  2. You can also have the selections made and once submitted, upon item creation in the form board, it triggers the Match automation to find a unique identifier like a project number or their email to auto connect it to the right project based on external assignment.
