My team uses the “sent from this item” filter to only show emails sent from one specific item. Unfortunately, when this filter is on, the automatic email and any response to that email are not logged in the Emails and Activities app. We can not turn this filter off as we have multiple items that get created with the same email in the email column so we need to use this filter to not confuse email correspondences. Monday.com Support said the filter currently has limitations to not allow automatic emails and responses to show up in the emails and activities timeline while the filter is on. They said they would ask their product team about adding it, but there is no ETA. My team needs a solution to this issue because we need the automatic email and any responses to show up while the filter is on. Any insight or input would be great, thank you!
Can you expand on which filter you’re talking about? Perhaps an image (with stuff blacked out as needed)?
Hi Taylor, I found a workaround to keep my emails organized by item when multiple items share the same email address. You can create an automation to basically direct any email with a certain keyword in the subject line, or body, or both to that specific item’s update section. So in addition to going to the “Emails & Activities” section, the emails will appear in the update section. In the automation center, you’ll need to start typing the following recipe in the search bar: “When an email from email is received, add as an update”. Hopefully this helps! Let me know if you have any questions.
Hello!
Since Monday.com’s “sent from this item” filter doesn’t log automatic emails and their replies, consider workarounds like consistent subject lines, unique identifiers in email bodies, using the “Email to Board” feature for automatic emails, or exploring complex automations to manually log replies. For more robust solutions, investigate third-party integration platforms (Zapier, Make) or dedicated CRM/email management tools, keeping in mind complexity, cost, and data consistency. Continue to provide feedback to Monday.com support about this limitation.
Hi Alexandra, this is a great tip and I was able to make the automation you suggested. The issue now is that when we receive a response from the automatic email it is now logged in all line items with that same email address. Do you know of a solution to fix this?
