Time Automations based on a status

Hello All,

So I have done some digging and can’t find how to do this. We have a board that we use to track our students progress, and we have a status column that we change to identify at what stage they are at. One of them is a status that tells us we are waiting on the student to send us some paperwork.

What we need is an Automation that say, every Friday, checks the board for all records that are in this status, and sends an email to them all reminding them they need to send us paperwork.

Is this possible?

We’ve had a user with a similar need. In their case, staff had to submit field reports within a set number of days (duration). Once a task was started, the status would change and track against that timeline.

The “every Friday” part can definitely be automated to send notifications to the right people, along with other actions that fit your workflow. Sending emails directly to students isn’t something built in, but the first part of what you’re looking for is absolutely doable with Smart Timeline + Duration.

  1. Use the “Status” column to track items that are waiting on student paperwork.

  2. Create an automation: Look for something like “Every Friday, for all items where Status is [Waiting on Paperwork], send an email to [Assigned Person or Email Column].” monday.com has built-in automation recipes that let you filter by status and schedule recurring actions.

  3. Test it: Before going live, try it on a small subset of items to make sure the emails are sent correctly.

This way, every Friday, all students who haven’t sent their paperwork will automatically get a reminder email without any manual work.

From our apps, Time in Status for monday.com could help you track how long students have been stuck in that status, so you can identify bottlenecks more easily. However, for the automatic sending of reminder emails, the native monday automations and integrations would be the best fit.
