Tracking Emails Sent in Activities

Can someone tell me how to track emails sent under the Activities tab automatically? It’s annoying to send an email and then create an activity. I would like this to be done automatically when a new email is sent. I suppose it would create a “count” of some sort. My goal is to show my boss how many emails I’ve sent to prospective clients and/or regarding proposals.

There is not a native way for this at the moment, though it’s been submitted as a feature request. *WARNING* Emails & Activities Automation Is Messing With Your Reports!

To track emails automatically under the Activities tab, you can use a CRM tool that integrates with your email service to log email activity. Many CRMs, like Salesforce or HubSpot, offer this feature. Here’s how you can achieve it:

  1. Use CRM Email Integration: Many CRMs have direct email integration (e.g., Salesforce, HubSpot, or Zoho), where emails sent from your connected email account are automatically logged in the CRM under the Activities tab. This will help track how many emails you’ve sent to prospects and clients.

  2. Enable Email Sync: In your CRM, go to the settings and enable email sync or email logging features. This will automatically capture sent emails and categorize them as activities without needing manual entry.

  3. Use a Plugin: If your email platform doesn’t have built-in CRM integration, you can use a plugin or extension like HubSpot Sales, Salesforce for Gmail, or Zoho CRM’s email integration. These can automatically log sent emails to your CRM.

By setting this up, emails will automatically be counted, and you’ll have a report showing how many emails you’ve sent to clients and prospects.

My workaround is to copy the activity link of the email I just sent and paste it into a custom activity called “email” so I am reporting correctly. Obviously, this isn’t an option if you are sending automated emails.

Hey Tyler, I may have a solution for you. Maybe we can set up a 15-30 min call? In short, we would want to have a status column that changes everytime you send and email, there is an automation in the E&A app that can trigger a status change when an email is sent.
