Why do I have to select a specific item to create a workflow with the new workflows?

Hello,

I am very familiar & proficient using the traditional automations that you create from being on a board. Recently this new “workflows” feature has been enabled for our account. I have tried using it because it seems to have some functionality that is missing from the traditional board automations that could potentially be very helpful.

However, whenever I try to make one, I can’t complete it because when I go to add a condition, it has selecting an item as a required question.

I don’t want to select an item & apply the workflow to just a single item. I want the workflow to run for all items created on a board that meet the conditions.

Does anyone know how to do this?

Monday Support hasn’t given me a clear answer to how to get past this. I do have a video call coming up with them in a couple weeks but I am trying to go live w/ using Monday for our sales & new customer onboarding before then & would like to figure it out sooner if possible.

Thank you!

Hi @JBDenver , are you able to share a screen shot of this to help me understand? A snapshot of the workflow with a few steps before the condition, and the condition that only has the 1 item?

I am thinking maybe you don’t have the get item data action prior in the workflow perhaps? This allows you to get dynamic column data to the item ID and use it further in the workflow.

While Monday’s workflow Click Here feature requires selecting an item, consider using traditional board automations for simpler workflows. For complex workflows, explore advanced features or third-party integrations. Provide feedback to Monday about this limitation to encourage future improvements.

Hi Wally thank you for your reply. I attached a pic. It has a required Item selection column. Originally when I was setting this up it was showing a list of items to choose from, but now when I come back at it it shows just Item ID so I am not sure if that is the default that will apply to all of them?

I am not using the regular board automations because they do not have the ability to delay an action by a number of hours.

Hi @JBDenver , that looks correct to me, it will get the unique ID for the item created and check that condition is meet for that individual item. I am also a fan of the delay feature. One thing I picked up, is that if an item is mid-worfkflow in the delay step, if you edit the workflow in any way, all in-progress items will get cancelled out of the workflow.
