Relatively new to Monday and have been taking advantage of the community and lessons. I recently imported the headcount planning template to help with future workforce planning. It allowed me to create positions and assign fictional employees to them. What I have not been able to figure out is how to assign those employess to projects, I can’t seem to figure out how to get past the “invite a new member via email” when I create a “people-based” column. Any suggestions?
You only want to use the People column if the employees are already added as users in your monday.com account. The People column is designed for assigning real users so they can receive notifications and take action.
If your employees are fictional or not yet added, I recommend using a Text or Email column instead. There’s no need to invite them unless you want them to actively work in monday.com.
If you’re trying to do capacity management or resource planning with the Capacity Manager, then yes, those individuals need to be added to your account before you can assign them via the People column. As an admin, you can invite them from the Admin section with their email address. You can usually assign new users once you’ve invited them as an admin, otherwise after they accept the invite, you’ll be able to select and assign them to tasks on your boards.
So in summary:
Use Text or Email columns for placeholders, planning, or contact info.
Use the People column for actual assignments and notifications only if they’re added as users, especially for features like capacity/resource management.

No. It is for future planning. I am trying to assign future employees to future tasks to depict workload requirements. The employee directory allows me to create employees because the name column is a text column not a people column. Essentially I want to assign an employee name(s), Employee1 and Employee2, to a future project. I figure that there must be someone to create them as a resource and assign them as a resource to a project.
I would suggest creating TEAMS in the admin settings. Then you can assign certain teams to relevant tasks in the People column.
Then, when you have new employees coming in, you can add them to the relevant team and they’ll automatically be responsible for those tasks or projects.
That’s a great tip. I should have given y’all more information. I am using the pro version not the enterprise version. I am a federal employee and our “project management” software has been limited to the junk in MS Teams. Thus I have been using an access database to manage all this so I don’t have to work off spreadsheets and can generate reports. I got tired of working with software that is archaic by business standards and paid for year of Monday pro version out of pocket. Long way of saying teams are not included in my plan. In fact most of this resource management is not included…I may need to contact sales and see if I can get a disabled veteran discount
