Automation to Generate PDF Automatically from a Workdoc

I would like to suggest a feature that allows the automatic creation of a PDF file once a Workdoc is generated in Monday.com. This improvement would be particularly helpful when sharing documents with external clients, such as invoices, follow-up documents, or other materials, especially when they are not part of my team.

Currently, when I want to send a document to a client who is not part of my team, I need to follow these steps:

  1. Manually download the Workdoc as a PDF.
  2. Save it on my computer.
  3. Upload the PDF file to the “File” column.
  4. Send the file to the client from there.

This process is time-consuming and repetitive. An automation that automatically generates a PDF from the Workdoc and saves it in a specific column would simplify this task significantly. Additionally, a button or automated action to send the PDF directly to the client could be implemented.

This feature would not only enhance productivity but also make communication with external clients, such as for invoices and other documents, much more efficient

Hi @xtina88,

I have an app on the marketplace that offers a variety of automation recipes for different use cases. Your idea sounds fantastic, and I’d be happy to create a couple of automation recipes tailored to this use case. Would you be open to testing them and sharing your feedback once they’re ready?

Thank you for bringing this up @xtina88! I have been trying to figure this out for our org for the last year or so. There was an integration with DocExport and Gmail to send a PDF and I was even able to automate it so I didn’t have to manually send the file to the client like you mentioned, but Monday.com retired this for some reason. It’s very frustrating. There is a suggestion that we use SuperMail, but that looks like it will come with an additional cost and I am personally having trouble setting it up–I was re-routed to Spot-nik which is a Monday.com partner. It’s challenging to have to go outside of Monday. com to get this figured out. Just wanted to say thank you for concisely identifying the problem. I hope Monday.com is working on this–other people have posted this same challenge in requests.

You’re spot on — manually handling Workdoc exports can be a repetitive time drain.

That’s exactly what The PDF Maker was built to solve. It allows you to fully automate PDF creation from Monday.com data sources (including Workdocs, forms, and boards). Here’s what you can do:

:white_check_mark: Automatically generate a PDF when a new entry is added or a trigger is fired
:white_check_mark: Customize your PDF layout with logos, headers, footers, and conditional fields
:white_check_mark: Auto-save the PDF in a File column on your board
:white_check_mark: Instantly send the PDF to clients via connected automations — no need to download or upload manually

This workflow turns the 4-step process into a one-click or no-click automation.
