Calendar for leave

Hi, i am the admin of a small business with small team (8 people) , we would like to use Monday.com to create a calendar to show the leave taken. I understand that i need to set up the board so that the calendar can be used appropriately, but i am having a hard time setting this up.

We don’t really want to use the names of the team members and was thinking of using codes or colours to represent each member.

Hi @AlexViss You could try using a form connected to log time in your leave board:

  1. Add a Form View on your board so team members can submit leave requests with:

    • Their name (or use the People column linked to their monday.com login)

    • Dates of leave

    • Any other details you need

  2. On the board itself, use a Formula column to then set with an automation a Status column to automatically assign each person coloured status label. That way:

    • The name/People column can be hidden from the main calendar view

    • Only the code or color appears on the calendar, acting as a “hidden” identifier

One thing to keep in mind: with only 8 people, colleagues might still work out who’s who, especially if someone is off for a single day or has a recognisable pattern. If anonymity is important, you may need to:

  • Rotate or randomize colors/codes periodically, or

  • Use generic labels (e.g., “Team Member A, B, C…”) and avoid sharing a full mapping with everyone.

This setup should let you manage leave visually on the calendar while keeping names out of view.

You can now hide the main view tab which is fab and lock down who see’s what or create a standalone dashboard that is the calendar. You could have a staff view with no colours just blocks all booked out and a manager level that has the colours?

Are you manually adding the time off? Or are you having them fill out a form? Which product (CRM/Work Management, etc) and level (Pro/Enterprise) do you have?
