Hi @frankp
Welcome to the Community!
Your workflow definitely sounds interesting! Whilst you may want to consider hiring one of our certified partners to help you implement your workflow and get up and running, here are a few pointers and ideas for each of the requirements you’ve mentioned.
Workflow & Management Design
- Job Index Board has an item for each sold Project
For this, you might like to consider using a high level board that will store all of the high level details of each project.
We do have an article on creating this kind of board here: What is a High-Level Board?
There’s also a nice Project Overview template here that you might like to utilise: Success stories | monday.com
- When a project on the Job Index board is 'Released to Production’ (status change) a new Project Specific Board is created from a template with pre-set tasks & dependencies
You can automatically create new boards from templates when a status changes with the following automation:
When configuring the automation you will be able to select a template that the new board will be created with:
You can read more on how to create a custom board template here: Does monday.com offer templates?
- The Project Specific Board will be the home for all the project tasks
For the Project Specific boards you could use a low level board, which can then be templated to use for all future projects.
You can read more on this here: What is a Low-Level Board?
This can be connected to the High level board using The Connect Boards Column and The Mirror Column.
- A High Level Job Progress Board will show ALL tasks across all the active Project Specific Boards including their dependencies
For this you might like to use a Dashboard.
Dashboards allow you to combine data from multiple boards in to one central place so that you can report on them.
Dashboards are made up of different widgets that can be customised to show only the most relevant data.
It is worth noting that there is limited support for dependencies in the Dashboards.
You can read obout this here: The Dashboards
One widget you might find particularly useful for your workflow is the Table Widget - The Table Widget
- Any Updates made items to either the roll up Job Progress board OR Project Specific board are reflected everywhere
This can be achieved using either using the aforementioned Connect Boards and Mirror Columns, or again via a Dashboard.
This will mostly depend on the exact information you’d like to have reflected.
- The Job Index can show summary progress of each Project
This can again be achieved within the High Level Board setup, or via a Dashboard!
I would recommend checking out all of the resources and exploring them within your account to see if they could work for you.
I hope this helps! Remember to mark as solved if this answers your question
Best,
Dani
