Copying Over Items with Subitems in Monday.com: A Game-Changer for Workflow Efficiency

One of the most common limitations users face in Monday.com is the inability to copy items from one board to another while retaining subitems and their column data. This can be a major roadblock for teams managing complex workflows, especially when they need to replicate data across multiple boards.

Recently, one of my clients faced this exact challenge. They needed to copy items from an Opportunities board to a Client Project Boards, including all subitems and their associated column data. While Monday.com doesn’t natively support this functionality, we found a powerful solution using Make (Formerly Integromat)


The Challenge

The client’s Opp’s board contained items with multiple subitems, each with detailed column data (e.g., Owner, statuses, and due date). They wanted to replicate these items on their client project board, along with their subitems, into a secondary board for reporting and tracking purposes.

Unfortunately, Monday.com’s native copy-paste functionality doesn’t support copying subitems or their column data. This meant the client had to manually recreate each item and subitem—a time-consuming and error-prone process.


The Solution: Make to the Rescue

Using Make, we built an automation workflow that:

  1. Identifies Items and Subitems: The workflow scans the Opp’s board for items and their associated subitems.
  2. Copies Column Data: It extracts all relevant column data from both items and subitems.
  3. Recreates Items in the Client Project Board: The workflow creates new items in the CP board, complete with subitems and their column data.
