Subitems don't follow after automation

Hello, I need to create items in a new board but the subitems data don’t follow. I really need to transfert the subitems data into the new board because there is some sensitive informations on the main board, which we can’t restrict views into the pro version of monday. What should I do? thanks!

Thanks for raising this! At this time, this is expected behaviour when creating new items across boards - I apologise for the setback!

That said, could you instead consider duplicating the item and moving it to the relevant board (via automations)? This way the subitems will remain with the item when moving across boards. Let me know if this makes sense!

Unfortunately, transferring subitem data directly to a new board in Monday.com isn’t currently possible. However, there are a few workarounds you can consider:

  1. Export Data: Export the data from the current board, including both main items and subitems. This can typically be done by exporting the board to Excel or CSV format.
  2. Review and Anonymize Data (if necessary): If there are sensitive information in the data, review it and anonymize or remove any sensitive data that shouldn’t be transferred to the new board.
  3. Create a New Board: Create a new board in Monday.com where you want to transfer the items along with their subitems.
  4. Import Data: Import the data (main items and subitems) into the new board. Most project management tools including Monday.com allow you to import data from Excel or CSV files.
  5. Verify Data: After importing, verify that all main items and their corresponding subitems are correctly transferred to the new board.
  6. Set Permissions: Set permissions on the new board as needed to restrict access to sensitive information. Monday.com typically allows you to control who can view and edit specific items or columns.
  7. Test: Test the new board to ensure that everything is working as expected and that sensitive information is properly secured.

By following these steps, you should be able to transfer main items along with their subitems to a new board in Monday.com while ensuring that sensitive information is protected.

Hi @BiancaT, Thank you for your quick response. I did consider duplicating the item. The thing is when I duplicate it, the item name is followed by ‘‘copy’’, which is a new problem because my automation don’t reconize the association with the original item in my main board.

Thank you for those tips. Unfortunatly those options are not suited for my case. The thing is, I have a main board for my all of my orders and another one for the deliveries of the day. I need the relevant data of my main board to flows through my delivery board. I tried mirror but then, i need to give permission to my main board which i don’t want to. I tried an automation that create the relevant items into the delivery board but then subitems don’t follow. I tried to duplicate but then, the add of copy to the item name cause a problem to my automation.

I want the less human intervention possible, as i’m trying to make the relevant data flows from the main board to the delivery board, once a day, and then when the status change into the delivery board that the status change into the main one.

You create an item in the orders board (does that item have subitems as well?) and then what happens?
