Create board from template and delete certain task groups / display only the relevant task groups

I’m facing a challenge and would appreciate any ideas or suggestions you might have. Thank you so much for your help!

I’d like to start a new project by entering its details into a project overview board. The board has several columns that define the project’s details. Once a new project is created, I want an automation to use a template to create a new project board. (The current automation I’m using is: When “Create Project” changes to “Yes”, create a board from “Template”).

The template contains tasks organized into groups, with each group including tasks and subtasks. However, not all projects will require every task group. Some projects are more complex and need all the groups, while others only need the main task groups.

Is there a way to extend my automation to delete specific task groups based on the details I enter in the project overview board? For example, I would add a new project to the overview board and specify its details in the columns. Each column could correspond to a task group in the template. Depending on the selections made in these columns, I would like to keep or delete certain task groups from the template.

Hi @NW90, my preference would be to create 2 different project templates, with a different status trigger in the automation based on the type of project it is. I would then ‘group by’ a status on the new project board instead of deleting groups. Cheers, Bruce.

You can create a Status or Dropdown column in your project overview board to specify which task groups are needed for each project. When a new project is created, use the existing automation to generate the board from the template. While Monday.com doesn’t allow automatic deletion of task groups, you can manually hide unnecessary groups after the board is created, or use third-party tools like Zapier to automate hiding or modifying groups based on the selections.

Hi @NW90, I really like this idea for project implementation. Monday obviously will let you create a board from a template but it will also create the whole template, you couldn’t customize based on the project the board is being created for.

2 Potential Options

  1. If you projects you are working on have a pattern of what tasks are needed to be added/removed, you could have multiple templates for the set of tasks typically associated with a related project.
  2. Alternatively, you could use an automation software like Make.com to filter you project based on the task and create new board based on that. You’d be able to fully customize it with some time and development. I have found it to be well worth, especially with how seamlessly it integrates with Monday.com.
