Darshan Hiranandani : How to Set Up a Master Board and Sub-Boards with Selective Visibility?

Hi everyone,

I’m Darshan Hiranandani, Our team is new to monday.com, and we’re currently trying to set up a workflow where we work with several subcontractors. What we’re aiming to do is:

  • Share individual boards with each subcontractor (so they only see their own tasks and projects).
  • Have those individual boards appear on a master board that only our full-time team can access.
  • Add a couple of columns on the master board that would not be visible to subcontractors.

Has anyone set up something similar on monday.com? How can we achieve this kind of structure with the visibility controls? Any tips or best practices on how to manage this efficiently?

Looking forward to your suggestions!

Thanks in advance!

Regards
Darshan Hiranandani

Hi Darshan, this can be achieved with creating a managed template board (if its available in your account, otherwise a normal template board will still work) for your subcontractors, changing them to a shareable board when created (can be done with an automation trigger like a button, or status change), and then inviting the subcontractors as guests.

You do need to be aware of your connected board limits on your account which i’ve listed below. For each column you want the subcontractors to see, create the column on the Managed Template Board and connect it back. For each column you want your team to only see, create it on the Master Board and Connect to your Managed Template Board. As a default I tick the box that asks whether or not you want your connect boards column to be a two way connect column. You also need the automation

äs well as mirror columns for the columns you want to see on opposing boards.

Happy to review your build, or troubleshoot any issues you may have as it should only take a minute.
