item related automated emails triggered by date column

need some help understanding if it is possible to automatically send an email triggered by a specific date columns and to make sure it is connected to a specific item so I could see it when filtering the E&A to: Sent from this item

I managed to send an email using Gmail’s integration within Monday.com but it doesn’t match the email with a specific item - just with a specific contact (email address), which may have several items connected to it

when looking at the native E&A automations on monday I couldn’t find one that actually sends an email, just one that creates an activity

Hello @Omerkindaa
This is a current limitation in monday.com.

You can trigger emails when a Date column arrives, but automated emails do not reliably show in Emails & Activities as “Sent from this item.” They’re usually logged as updates or tied only to the contact email, not the specific item.

Emails & Activities works best when emails are sent manually from the item or via integrations that explicitly log to E&A. Native date automations can create activity, but they don’t fully send and track emails at the item level.

If item level E&A tracking is required, using Make or Zapier to trigger on the date and send the email is the most reliable workaround.

hi @Omerkindaa ! There’s currently no native way to send a date-triggered email and guarantee it shows under “Sent from this item” only. Most teams either live with the limitation or move email sending outside monday.

If part of the problem is emails starting outside monday, Email to Tasks for monday.com can help by pulling incoming emails into the correct item instead of spreading them across all items with the same contact.
