Monthly File Management using Digital Asset Management

I want to use Digital Asset Management to create a repository for a monthly recurring process that produces about 40 files (mix of word, pdf, excel). Some would be linked to a shareable board. Each month a process should move all files from “Current” to last month Name say, January and replicate to create a new DAM are for February. The date for move should be configurable and notify users. Another date notification should occur to ensure new report files are uploaded on time with alerts to seniors. This monthly process would be repeated to a project end point.
This would automate a repetitive process and secure digital assets with correct version and access control and provide an easily locatable repository.

has anyone found a good way to preview assets inside monday before downloading them?

Would love to streamline that step. Also wondering if anyone’s tried using tags or automations to flag assets for review or reuse in future months—it seems like it could help a lot with keeping things organized long-term.

I created a board template with columns for file type, upload date, month tag, and department. I use automation to move files monthly and archive old ones automatically.

If you are looking for an automated file copying solution, then there is an app on monday.com marketplace Copy Files Pro.

With Copy Files Pro you can easily copy/sync files or rename files and then copy/sync to same board or another board.

They also provide dedicated support in setting up the app, so if you need, you can schedule a call.

I ended up using Blueberry-AI to tag and auto-organize my files by campaign month, which saved me hours. It reads the asset names and metadata, then sorts them into folders I linked through Mondaycom. I’ve also set it to alert me when something gets uploaded to the wrong folder. Super simple to connect if you use their webhook trick with automation.
